Get off to the right foot by configuring the basic settings for your Timeero account.
To begin navigate to the Company Settings by clicking on the orange gear icon in the upper right corner of the admin web portal.
Company Name, Timezone, Date Format, Currency: Set these to match what is most convenient when it comes to running reports and calculating reimbursements.
Mileage Cost (Per Mile): Enter the basic amount you are reimbursing per mile here. If your employees have individual rates, you can set those in the employee's profiles to override this rate.
Insert Lunch Break Automatically: When you know your users will be credited for an exact length of lunch break, and you don't want them to have to worry about clocking in/out for it, turn this on then select the duration. Learn more about it here.
Count Mileage for Speed Over (Mile/Hour): If you want to make sure you aren't reimbursing mileage for when your employee is not driving, make sure you set this to a speed greater than the average walk, but slower than idle speed. By default this is set to 4.47mph.
Allow automatic clock in/out reminders based on location: This will let you turn on geofence notifications for your employees to let them know they are at a job location and to clock in.
Require all users to select a job to clock in: For Pro and Premium accounts, this makes it so that your employees must choose a job they are assigned to in order to clock in.
Allow users to choose a task when clocking in: Jobs must also be turned on for this option to work, but it lets users choose a task that is assigned to the job they select when clocking in.
Require users to be within geofence to clock in: Turning this on will prevent your users from clocking in unless they are inside of the predetermined geofence of the job they select. Learn more about geofences here.
Block users from clocking in through website: If you only want your users to be able to clock in from the mobile app, make sure this is on. They will still be able to log into the website to view their timesheets, but they will not be able to clock in or out.
Show mileage in kilometers: Toggle this on to switch from miles to km.
Allow users to take breaks manually: If you do not want automatic break deductions, toggle this on and then make sure you set up breaks by following the instructions here.
Show time off in menu: To allow users to make time off requests, toggle this on and then follow the steps here to get it set up.
Split time at midnight: If you have employees that work overnights and the time needs to be on two (or more) different timesheets, toggle this on. Geolocation data will all be stored on the first timesheet, any that are split from it will only contain time data.
Clock out users when they turn off their GPS/app is force closed: Premium only, will clock out and flag a timesheet if an employee changes their GPS permissions, or force closes the app on iPhone.
California Break Policy: Toggle this on to activate all California break features, which you can learn more about setting up here.
Enable Signatures: To turn on signatures for employees, customers, or both, toggle this setting to on and then use this article to help you configure it.
Enable Commute Mileage: If your company policy is to deduct a certain amount of miles to account for an employees commute, turn this on and then click here for help customizing it.
Enable EVV: If you are using the Sandata Aggregator and have a Pro or Premium account, you can learn more about enabling this setting here.
Enable Kiosk app: If you want to use our kiosk as a physical clock-in for your employees, that does not track location data, you can learn more about it here.
