If your state has an open vendor solution that allows you to use the Sandata aggregator, then Timeero may be a good fit for you.

Before connecting Timeero to Sandata, reach out to our team to see if Timeero is certified in your state for Sandata.

If Timeero isn't certified, you will need to request Timeero as an AltEVV provider before connecting Timeero with the Sandata aggregator. Please contact our team for any help or questions regarding Sandata.


Get Connected

1. Contact a member of the Timeero team to enable EVV on your account. Once enabled you should see EVV Settings under the Company Settings page like below:

2. Configure your account to your preferences and location. Set the Sync EVV Visits frequency to manual if you prefer to manually submit your claims. Set it to daily if you want to submit claims on a daily basis.

3. Navigate to Integrations > Sandata > Configuration > Enable

4. Enter your entity ID, account number, username, password, payer id and payer program and click on Connect.

Reach out to Sandata if you don't have this information. 

 

 

Setting up Tasks for Procedure Codes and Modifiers

Tasks are required to successfully submit claims to Sandata.

1. To turn on tasks go to Company Settings > General > Allow users to choose a task when clocking in.

2. Navigate to Integrations > Sandata > Configuration and map your Timeero tasks with the corresponding procedure information.

Adding and Mapping Employees

You will need to add employees so they can be created in the Sandata aggregator. To add an employee, do the following:

1. Click EVV on the left side menu then choose Employees > Add Employee

2. Fill in all the required information and then click on Add EVV Employee. This should create an employee in the Sandata aggregator. Note: This change may not reflect instantly on the aggregator.

3. Next, map the newly created employee to a Timeero user. You can do so by choosing the Timeero users dropdown next to the EVV employee and then clicking on Map Employee.

Adding and Mapping Clients

You will need to add clients so they can be created in the Sandata aggregator. To add a client, do the following:

1. Click EVV on the left side menu then choose Clients > Add Client

2. Fill in all the required information and then click on Add EVV Client. This should create a client in the Sandata aggregator. Note: This change may not reflect instantly on the aggregator.

3. Next, map the newly created client to a job in Timeero. You can do so by choosing the Timeero jobs drop-down next to the EVV client and then clicking on Map Client.

Submitting and Managing EVV visits

The EVV visits page allows you to submit your visit claims, view pending claims, or review failed claims.

To submit/resubmit a claim:
1. Click EVV on the left side menu then choose Visits.

2. To submit a visit on the list, click the Submit button on the right. If resubmitting a claim, it will say Resubmit instead.

3. Fill in the popup window with notes and a reason code if needed.

4. Submitted info will then be sent for processing and may take 24 hours to show in your Sandata portal.

If you want to send multiple claims to Sandata at once you can by clicking the checkbox to the left of the claims you want to select and then hitting Submit/Resubmit at the bottom of the page.

To view submitted claims
, go to EVV > Visits > Pending. Here you will see all claims that have been submitted without any errors. You are able to edit timesheets while they are still in this tab, but they will need to be resubmitted afterwards if you do. You can also mark a visit as "Non Billable" from this page if necessary.

To view failed claims, go to EVV > Visits > Failed. On this page you will see any visits that were declined by Sandata, as well as the reason for being declined. You can resubmit the claim from this page if needed.
