Sage Intacct Integration

  • Export hours and mileage directly from Timeero into Sage Intacct.

  • Streamline payroll, billing, and expense tracking.

How Do I Set Up the Integration?

  1. Navigate to Timeero → Integrations → Sage.
  2. Click Configuration.
  3. Click Enable.
  4. A smaller window will appear requesting Sage Intacct credentials.
  5. Enter the required Sage information and click Log in.

Once the correct credentials are entered, your Sage Intacct account will be connected to Timeero.

How Do I Select an Entity?

After enabling the integration, the first required step is to select an Entity.

⚠️ Important:
The entity selected in Timeero must be entered and has to match the entity selected in Sage Intacct, otherwise exports will fail.

What Do The Connection Settings Do?

Mark Time Entries Sent to Sage Intacct as Billable
  • When enabled, exported time entries will be marked as billable in Sage Intacct.
  • When disabled, time entries will be exported as non-billable.
Create Employee Expense in Sage Intacct for Mileage Cost
  • When enabled, mileage will be exported to Sage Intacct as an expense.
  • When disabled, mileage will not be exported.

How Do I Configure Mappings?

After configuring connection settings, navigate to Configure Mappings.
Here, you can map:

  • Employees
  • Jobs (Projects)
  • Tasks
  • Earning Codes
  • Mileage Expenses

How Do I Map my Employees?

This section allows you to map Sage employees to Timeero users.

  1. You’ll see a list containing:
    • Sage Employee Name
    • Sage Email
    • A dropdown of Timeero users
  2. Select the corresponding Timeero user from the dropdown
  3. Click Map Employee

Once mapped, the employee will be linked between both systems.

 

Can I Map Projects into Timeero?

This section allows you to map Timeero jobs to Sage projects.

  1. You’ll see:
    • Sage Project ID
    • Sage Project Name
    • A dropdown of Timeero jobs
  2. Select the Timeero job you want to assign
  3. Click Map Project

 

Can I Map Tasks from Sage to Timeero?

This section allows you to map Timeero tasks to Sage tasks.

  1. You’ll see:
    • Sage Task ID
    • Sage Task Name
    • A dropdown of Timeero tasks
  2. Select the appropriate Timeero task
  3. Click Map Task

 

How Do I Map the Pay Codes from Timeero to Sage?

Go to the Sage Earnings Codes tab to map:

  • Regular hours
  • Overtime hours
  • Double overtime hours

These mappings determine how employee hours appear on the exported timesheet and how employees are paid in Sage Intacct.

⚠️ The earning codes used here must already exist in Sage Intacct.

To map the mileage code, go to the Mileage Expense tab.

Here you can map:

  • Expense Type
  • Currency

⚠️ Make sure the currency in Timeero matches the currency in Sage Intacct.

What Are Some Important Things to Note?

  • Tasks must be assigned to projects in Sage Intacct.
  • Time timesheets without a task cannot be exported.
  • If tasks are not correctly assigned, time and mileage will not export.

 

Where Do I Find Employees, Projects, and Tasks in Sage Intacct?

Use the Applications dropdown menu in Sage Intacct.

  • Projects:
    Applications → Projects → Projects
  • Tasks:
    Applications → Projects → Tasks
  • Employees:
    Reports → Setup → Employees

How Do I Export Data from Timeero?

  1. Navigate to:
    • Report by User or Group, or
    • Report by Date Range
  2. Generate the report
  3. Click Export
  4. Scroll down and select Sage
  5. Wait a few seconds for the success message

Once completed:

  • Navigate to the Notification Center
  • Confirm whether the export was successful
  • If it failed, the notification will show the reason

Where Do I Find Exported Data in Sage Intacct?

Exported Time:

  • Applications → Time → All → Staff Timesheets

Exported Mileage:

  • Applications → Expenses → All → Staff Expenses

Where is the notification center in Timeero?

You can locate the notification center by clicking on the blue bell icon at the top of the web portal. Here you can see if your export was successful or the error message if it was unsuccessful.
