Getting Started - Mapping Employees - Exporting Time & Mileage
Before You Begin
Log into Paylocity and request a partner integration via Paylocity marketplace. Detailed instructions on how to do this can be found here. – link the Marketplace Guide (attached)
Note: Paylocity is going to enable the API connection for the integration.
Paylocity Web Service Access Request Form
Make sure that under Vendor/Third-Party Contact Information you fill in the following boxes like this:
You will also want to make sure that you select New Access for Company IDs listed above and check the box for Production. All other fields will be related to your Paylocity account, so your Paylocity rep should be able to assist you with that if necessary. Once you have turned in the form, Paylocity will be able to enable API access and you can log into your Timeero account and enable the integration.
Let's get started!
- Go to Integrations > Paylocity.
- Select Configuration.
- Click Enable and enter your Paylocity company ID.
- Map the earning codes under Configuration > Settings. The default regular, overtime, double overtime hours and mileage is going to show a list of all the earnings and deductions as set up in Paylocity’s configuration. Please note that mileage can be either setup as an earning or deduction and the list is going to show both earnings and deductions as set up in Paylocity’s configuration. Select the appropriate earning or deduction per item. The earnings and deductions selected is going to be used to send the pay export to Paylocity.
Now, map your employees:
From the Configuration page click the link that says Configure Mappings. On this page you will need to match your Paylocity users on the left to your Timeero users in the dropdown on the right. Once they are matched, click Map Employee to save it.
If you do not see your employees in the Paylocity column, or you have added new ones, you can click the orange Sync changes with Paylocity button in the upper right corner to update the information in Timeero.
Exporting Time & Mileage to Paylocity
To begin an export you will first need to go into your Paylocity account and go to Payroll > Pay Entry. Choose the check date from the drop down menu and make sure that the period begin and end dates are accurate.
Next, go into Timeero and go to Reports > Report by Totals Only. Enter in the date range that matches the begin and end dates from Paylocity and then click Generate Report. Once the report has been generated, you can confirm the totals are correct and then click Export > Export to Paylocity.
Enter the correct Check Date from Paylocity into the pop up box that appears, and then click Proceed. If everything has been entered correctly, you should get a green pop up at the top of your screen that says the export was successful. You can check the status of an export by going to Integrations > Paylocity > Export Status to verify. Once exported, you should be able to view the batch in Paylocity to confirm.
Disclaimer
Currently, Paylocity exports are not compatible with the "Report by Date Range" report. Attempting to use this report format for your Paylocity export will result in failure or unusable data.
Recommendation run the following reports until report by date range is fixed. Report by User or Group and Report by Job.
