Getting Started - Mapping Employees - Exporting Time & Mileage

Learn how to setup Timeero with Paylocity and start conducting payroll seamlessly
What do I Need to do Before I Begin?

Login into the Paylocity Marketplace, search and select for Timeero.

Connect the Paylocity integration to Timeero.

Once you are finished you will be ready to finish the integration set up.
What do I do After I am Connected?
- Go to Integrations > Paylocity.

- Select Configuration.
- Click Enable and enter your Paylocity company ID.
- Map the earning codes under Configuration > Settings. The default regular, overtime, double overtime hours and mileage is going to show a list of all the earnings and deductions as set up in Paylocity’s configuration. Please note that mileage can be either setup as an earning or deduction and the list is going to show both earnings and deductions as set up in Paylocity’s configuration. Select the appropriate earning or deduction per item. The earnings and deductions selected is going to be used to send the pay export to Paylocity.

How do I Map My Employees?

From the Configuration page click the link that says Configure Mappings.

On this page you will need to match your Paylocity users on the left to your Timeero users in the dropdown on the right.

Once they are matched, click Map Employee to save it.

If you do not see your employees in the Paylocity column, or you have added new ones, you can click the orange Sync changes with Paylocity button in the upper right corner to update the information in Timeero.

How Can I Export Time & Mileage to Paylocity?

To begin an export you will first need to go into your Paylocity account and go to Payroll. Locate your desired payroll period.

Confirm the following details:

The start and end dates, and the check date. These will have to match the report dates in Timeero exactly.
- The payroll period is "In-Progress" in Paylocity.
If it's not open yet, you can create and Empty batch in Paylocity so it remains in the "In-Progress" status.

Go into Timeero and go to Reports > Report by Totals Only.

Enter in the date range that matches the begin and end dates from Paylocity and then click Generate Report.

Once the report has been generated, you can confirm the totals are correct.

Click Export > Export to Paylocity.

- Enter the correct Check Date from Paylocity into the pop up box that appears, and then click Proceed.
- If everything has been entered correctly, you should get a green pop up at the top of your screen that says the export was successful.
You can check the status of an export by clicking on the bell icon in the top right corner. You can also go to Integrations > Paylocity > Export Status to verify.
Once exported, you should be able to view the batch in Paylocity to confirm.
*Currently, Paylocity exports are not compatible with the "Report by Date Range" report. Attempting to use this report format for your Paylocity export will result in failure or unusable data.
*Recommendation run the following reports until report by date range is fixed. Report by User or Group and Report by Job.
FAQs
I got a notification that some of my users aren't mapped. Did my export fail because of that?
No, your batch will still appear in Paylocity. However, any users who were not mapped will not have any data in that batch. You will need to map any necessary users and then export a new batch. If the users not mapped don't need any data exported to Paylocity, then you may disregard the notification.
