Exporting PTO to Paychex Flex

You can now export PTO (Paid Time Off) hours to Paychex Flex.

This update allows you to separate regular hours from PTO hours and map PTO hours to the Pay Components you choose in Paychex Flex.
How Do I Configure PTO Settings in Paychex Flex?
In Paychex Flex, go to Configuration and hover over Settings. There are two settings related to PTO:
- Separate PTO hours from Regular hours.
- Use a Single Pay Component for PTO hours.
How Can I Separate PTO Hours from Regular Hours?
When Separate PTO hours from Regular hours is enabled, PTO hours are separated from regular hours and exported to Paychex Flex.
To map PTO hours:
- Go to Configuration → Configure Mappings.
- Open the Time Off tab.
- Map Time Off Categories to Pay Components.
- If PTO is mapped to a Pay Component, it will appear under that Pay Component in Paychex Flex
- If PTO is not mapped to any Pay Component:
- PTO hours will be separated from regular hours
- PTO hours will not be exported to Paychex Flex
- Regular hours will still be exported
What Does The "Use a Single Pay Component for PTO Hours" Setting Do?
The Use a Single Pay Component for PTO hours setting overrides all Pay Components configured in the Time Off tab.
When this setting is enabled:
- A new dropdown labeled PTO becomes available.
- Select the Pay Component you want to use.
- All PTO hours will be exported using the selected Pay Component.
FAQs
If an employee uses multiple types of PTO in one pay period (vacation + sick), and I'm using "Single Pay Component," will they all appear under one code?
Yes. When "Use a Single Pay Component for PTO hours" is enabled, all PTO hours—regardless of category (vacation, sick, personal, etc.)—will be combined and exported under the single Pay Component you've selected. Paychex Flex will not distinguish between different PTO types; they'll all appear as one total under that earning code.
