Allow or require user responses to custom prompts and get more specific data about your employees' work day.
Introduction
Assigning custom fields to timesheets allows you to capture tailored questions and responses from your team during their work day. With custom fields, you can capture more than a note by building out forms, questions and responses around your business’ workflow.
Allow or require users to provide data or answers to your custom questions as they are clocking in or out.
Enable Custom Fields
- Go to Company Settings: Click the Gear Icon in the top right corner.
- Enable Custom Fields: If disabled, toggle Enable Custom Fields on and click Save.
- Continue configuration: You can change the configuration by selecting Custom Fields from the submenu.
Configure Time & Mileage Custom Fields
In the submenu, you can create up to 10 types of custom fields to appear for your employees to respond to when clocking in or out.
- Click Add Custom Field
- Name this field and select a Type
- Text: For shorter text inputs, assign a minimum or maximum number of characters required as input and/or provide a default value
- Numeric: assign a minimum or maximum quantity allowed as input and/or provide a default value
- Text area: For longer text inputs, assign a minimum or maximum number of characters required as input and/or provide a default value
- Dropdown: Create options to allow users to select one answer
- Dropdown Multi-select: Create options to allow users to select multiple answers
- Checkbox: Create options to allow users to select multiple answers
- Radio Button: Create options to allow users to select one answer
- Monetary: assign a minimum or maximum quantity allowed as input and/or provide a default value
- Date Picker: allow users to select a specific date as the answer
- Time Picker: allow users to select a specific time as the answer
- Select the option to determine if this field is Required or not
- You can enter a placeholder text that describes to users how they should answer
- Select when the user should be prompted to provide their input, when Clocking In or when Clocking Out
- You can choose if this custom field should only appear if a certain job is selected
- Select Add Custom Field to save these options
You can use this icon to drag and reorder the fields. This will determine in which order they will be shown.
You can archive specific custom fields to no longer accept new input. Reports can still be generated for archived
To limit which users can see which custom fields, jobs must be used. Assign the field to a specific job and then ensure that job is only assigned to the users who should see it.
Custom Fields on the Mobile App
When viewing a timesheet on the mobile app, the Custom Fields data can be viewed by selecting Additional Info. If the user has editing permissions, the custom fields can be edited by selecting the pencil icon on the timesheet and selecting Add Additional Info.
If customs fields are set to appear when clocking in or out, a page titled "Clock In" or "Clock Out" (respectively) will be shown before the user confirms their clock in/out. If any fields are required, an asterisk will be show to indicate they must provide an answer before they can complete their clock in/out.
View Custom Fields on the Web Portal
- Go to the Time & Mileage page.
- Click on the icon to View Timesheet.
- You should be able to see custom fields that were used.
To Edit Custom Field inputs:
- Go to the Time & Mileage page.
- Click on the icon to Update Timesheet.
- Near the bottom, you can see all applicable custom fields.
- Adjust the input and save the changes.
